Recruiting is a large effort for an Admissions department and you don’t want to lose sight of prospective students that have not submitted an application. Use this automation to nurture your prospects and encourage them to submit an application.

Automation Goal

Build a relationship with new prospective students

How it works:

  1. The prospective student is added to the automation when Student Status is updated to ‘Prospect’.
  2. The first email is sent to provide information about your university/school and encourage the prospective student to apply for admission.
  3. The  prospective student waits in a pause step for 14 days (or whatever time frame you decide).
  4. Evaluate Application Date to determine if an application has been submitted. If yes, Stop.
  5. The second email is sent to provide more information about your university/school and encourage the prospective student to apply for admission.
  6. The  prospective student waits in a pause step for 14 days (or whatever time frame you decide).
  7. Evaluate Application Date to determine if an application has been submitted. If yes, Stop.
  8. The third email is sent to provide information about important dates/deadlines and encourage the prospective student to apply for admission.
  9. The  prospective student waits in a Stop step.

Prerequisites:

  • A text-based custom field that identifies Student Status
  • A date-based custom field that identifies the Application Date
  • 3 Automated API email designs

Get Started:

  1. Use this template to build the automation in your account.
  2. Design an Automated API email for each Send Email step.
  3. Update the Pause step if you want to use a different time frame between each email that is sent.

Pro Tips:

  1. Add as many Send Email and Pause steps as you want. There is no limit on the number of emails in a series.
  2. Always have a Pause step after each Send Email step to ensure that multiple emails are not immediately sent to your prospects.
  3. Collect your prospects in a Stop step at the end of the automation. This gives you the ability to extend the automation at a later date, if desired.
