Owner Voting Reminder

It can be difficult to get owners to send in their proxy when voting on changes. Use this automation to remind owners to vote, and provide an easy way to capture proxy votes online.

Ask owners to vote or submit their proxy

How it works:

  1. The owner is added to the automation when the first email is sent to remind the owner to vote.
  2. The owner waits in a pause step for 10 days (or whatever time frame you decide).
  3. Evaluate Proxy Voted to determine if the owner has voted.  If Y, Stop.
  4. The second email is sent to remind the owner to vote.
  5. The owner waits in a pause step for 10 days (or whatever time frame you decide).
  6. Evaluate Proxy Voted to determine if the owner has voted.  If Y, Stop.
  7. The third email is sent to remind the owner to vote.
  8. The owner waits in a Stop step.

Prerequisites:

  • A text-based custom field that specifies whether or not the owner Proxy Voted.
    • Be sure to set this field to Y when the owner submits a proxy vote
  • 1 Regular email design
  • 2 Automated API email designs

Get Started:

  1. Use this template to build the automation in your account.
  2. Design a Regular email for the first step.  Your segment should include all owners.
  3. Design an Automated API email for each subsequent Send Email step.
  4. Update the Pause step if you want to use a different time frame between each email that is sent.

Pro Tips:

  1. Add as many Send Email and Pause steps as you want.  There is no limit on the number of emails in a series.
  2. Always have a Pause step after each Send Email step to ensure that multiple emails are not immediately sent to your owners.
  3. Collect your owners in a Stop step at the end of the automation. This gives you the ability to extend the automation at a later date, if desired.
